Please note that a full hourly rate charge is applied to a part of an hour at all times with no exception, so 5 minutes into the next hour will be charged as a full hour.

A no refund for any type of cancellation policy means that if you cancel a booking, regardless of the reason or circumstances, you will not receive any refund of the fees or payment you made for that booking. This policy is typically in place to ensure that the service provider or business is compensated for their reserved time, resources, or services, regardless of whether you end up using them or not. It’s important to be aware of this policy when making bookings, as it implies that once you’ve paid or book for a service, you won’t get your money back if you decide to cancel for any reason.

Updated terms and condition

If you make changes to your booking while the booking form is open, it’s allowed depending on space and a min of 24hours notice, no refunds permitted. Rebooking after the form closure incurs an additional cost as a late booking fee. *If space is available* All requests must come via our contact us page.

If rebooking after closure of booking form incurs an extra cost as a late booking fee must be paid before the booking is accepted. It is the responsibility of the parent or guardian booking to ensure accuracy, and only one alteration is permitted per week.

Any NCS that is not up dated correctly within a week prior notice or any NCS chick issues that are not resolved a week prior to use (end date is the Thursday before) will mean person booking is responsible for full fee and no onus will fall on Ray of Sunshine for parents not maintaining their own chicks or ncs

Notification of Closures & Fee’s:

We will make every effort to notify parents or guardians as soon as possible in case of such closures due to adverse weather, force majeure, electrical cuts, or emergency maintenance works. However, circumstances may arise where advanced notice is not possible.

Closure in Exceptional Circumstances:

In the event of the closure of the service in exceptional circumstances, that is beyond the control of the Management i.e., adverse weather conditions, full fees for the closure period will be payable. This includes transport fees, which remain payable even in the event of road closures or poor weather conditions that prevent the normal operation of our transport services.

Force Majeure and Adverse Weather Events

In the event of adverse weather conditions or force majeure events that necessitate the temporary closure of our childcare service, parents or guardians are still responsible for the payment of fees for the affected days. Force majeure events may include but are not limited to natural disasters, acts of God, civil disturbances, or other unforeseeable events beyond our control. This also includes our transport facility.

Electrical Cuts and Emergency Maintenance Works

Should our childcare service experience electrical cuts or require emergency maintenance works, resulting in the temporary closure of the facility, parents or guardians are still obligated to pay the fees for the affected days.

By booking in your child in our childcare service, you acknowledge and agree to abide by the terms outlined in this policy.

Important information to note:

Payment of invoices are required even if your child or children cannot attend for any reason after the Booking Form is Closed.

Invoices must be paid on receipt of email, failure to do so may result in restricted use of our services.

Important information: If you are struggling to make payments on your account, please reach out to our Accounts Team at [email protected].

A payment plan can be agreed between both parties (Ray of Sunshine Accounts & Payee). If you are struggling to reach the payment plan terms agreed, please contact our Accounts Team to discuss revision of terms no later than one week after a missed payment.  Both parties must agree on revised terms.

If a third payment plan is broken, we then reserve the right to pass this debt onto a debt collector.

It is important to discuss any payment difficulties straight away with our Accounts Team.

Our terms allow for a maximum of three payment plan revisions only.

NCS Scheme

The National Childcare Scheme is a pathway to truly accessible, affordable, quality childcare. Since October 2019 it has replaced all previous targeted childcare programmes with a single, streamlined and user-friendly scheme to help parents meet the cost of quality childcare.

Supports are available for families with children aged between 24 weeks and 15 years who are attending any participating Tusla registered childcare service, including any Tusla registered childminder.

Important NCS Terms and Conditions for NCS Childcare Subsidy Users

Dear Ros Families,

The terms and conditions to streamline the use of our childcare services in conjunction with the NCS subsidy program. Please review the policy outlined below:

Effective immediately,(we are implementing this with immediate effect to align the terms already agreed apon by you with ncs) NCS subsidy users must adhere to the *agreed-upon hours* stipulated by the NCS guidelines. This means you must book the specified number of hours you have agreed under the ncs subsidy. *The onus is on the parent to maintain these hours when booking in the weekly service*

We act as intermediaries facilitating the use of the NCS and the agreed hours. It is your responsibility to comply with these agreed hours. While you can still use our flexible booking system, you must follow the agreement you signed for your NCS to attend the agreed hours. Our flexible booking system allows you to book any days and extra hours above the NCS agreed hours.

Additionally, any changes to the required NCS hours can only be accommodated every 8 weeks due to the administrative workload involved. This policy aligns with the NCS rule allowing for low attendance up to 8 consecutive weeks. However, this does not impact the possibility of increasing hours during camp times.

Private-paying parents will continue to have the flexibility to book hours as they see fit, without any impact on this policy.

Ray of Sunshine reserves the right to no longer accept the NCS subsidy if you do not follow NCS guidelines. If you are having difficulty managing your NCS hours, please contact our internal NCS department or the NCS Parent Line directly for assistance.

Ray of Sunshine will not be held accountable for any parent’s failure to utilise their NCS hours correctly. By providing your NCS chick and required hours, you agree to comply with NCS guidelines while benefiting from our flexible booking options.

**Policy Notice:**

By sending us your NCS chick and hours, you are agreeing to the above policy which you also agreed to with NCS. If you do not accept claims on your NCS subsidy, within one week of claim approval sent via NCS. **You will be charged privately and you will not be entitled to any refund, due to your lack of management of your NCS responsibilities.**

**Important Information on Ending NCS:**

If you decide to leave the NCS program, a 4-week notice is required as per NCS guidelines. Should you wish to re-enroll after requesting to leave, a new reenrollment charge will apply.

Your app account will be terminated if you request to leave NCS and do not continue using the service as a private-paying parent for at least one week per month for two consecutive months. However, opt-in-private prepaying will keep your app account active.
